The email to receive orders to your business | We recommend you setup a dedicated account for receiving Once orders. A Gmail account is ideal. Don't use a hotmail or yahoo account as their security systems can interfere with email delivery. You won't be using this for sending emails so can be something like yourbusinessorders@gmail.com. |
The From email address in customer emails. We recommend you leave this blank so Once creates a From address that maximises successful delivery. | Defaults to an auto-generated email from a Once domain to reduce the risk of emails going into a customer's spam folder. See the article: Email Addresses, From, Reply-To and Improving delivery |
The Reply-To email address in customer emails. If not set, the email to receive orders address is used. | By default, this will be the same as the email your Once Worksheets are sent to. However, if you have a different email address that you'd like customer replies to go to, this is where you enter it. You can also set the Reply-To email on the Settings screen of Once Mobile to have a different Reply-To email on each device, such as the surveyor's email. Also see the article: Email Addresses, From, Reply-To and Improving delivery |

However, if you would prefer Once to copy the fixing height that you entered when measuring a previous item, you can set this to 'Yes' |

Attach an Excel (CSV) version of the Worksheet | This option attaches a version of the worksheet that can be opened in Excel or other tools that can open CSV (comma separated value) files. See the solution Sending an Excel (CSV) version of the worksheet |
Attach an HTML version of the Worksheet | This option attaches to the worksheet email an HTML version that may be more convenient for printing or saving as a file. You can also open this in Word if needed. If you don't require this, set the value to No to reduce traffic and the size of your emails. |

Show item prices on Worksheet | Set this to Yes to include an extra column on the worksheet that show the individual item price including any extras. |

However, if they sometimes need to use different units, leave it as 'Yes' |

List 1. A comma separated list of selections to appear on the Customer and Complete screens. e.g. a list of Businesses. The choice will show on the Quote and Worksheet. Start the list with an empty entry to ensure a choice must be made before completing an order. | This setting is if you wish to have a mandatory drop-down list of options that your surveyor must choose from before completing a quote/order. E.g. If your business has more than one branch, and you wish to always know which branch is related to each order, you would list out your branches and Once Mobile users must select an option for every order/quote e.g " ,Branch 1, Branch 2". This can be used for any purpose that you wish to appear on the Quote/Order and worksheet documents, not just branches. |
List 1 label e.g. Branch | This is the label for the drop-down box described above, in the example shown you would enter 'Branch' in this field. |
List 2. A comma separated list of selections to appear on the Complete screen. e.g. a list of fitting durations. The choice will show on the Worksheet. Start the list with an empty entry to ensure a choice must be made before completing an order. | This setting is also a mandatory drop-down list that your surveyor must choose from, however it only shows on the Worksheet document. An example is a list of fitting durations to enable the office staff to allocate fitting time more accurately, e.g. ",30 minutes, 1 hours, 1.5 hours, 2 hours, Half day". This can be used for any purpose that you wish to appear on the Worksheet document only, not just fitting durations. |
List 2 label e.g. Fitting Duration | In the above example, you would enter "Fitting Duration" for this setting to label the drop-down box. |
Maximum discount % without a warning. | E.g. If you don't want your users to offer more than a 10% discount, you should enter '10' for this setting |
Measure Types | If you use more or less options than the default, be sure to change these |
If Yes, "other..." appears at start of lists. If No it is at the end. | The "other..." option on the Once Mobile survey screen allows the user to type a product/range/colour etc. that hasn't been added to Once using your Setup tool. If you think your users will need to use this often, this setting should be 'Yes'. If you think your users will rarely need to add items manually, this should be 'No'. |
If Yes, items on the Worksheet are ordered by product name. If No, items are in the order they were created (measured) | By default, this is set to 'Yes', meaning that items on the worksheet are sorted by product name. i.e. all your vertical blinds will be sorted together, regardless of which room they are in. This is to make manufacturing/ordering items easier as the same types are grouped together. However, if you would prefer to have the items sorted by the order in which you created them (i.e. the order you measured them when at the customer site) set this to 'No'. |
Show item prices on quote/invoice | Set this to Yes to include each blind/item price on the quote/invoice that is sent to the customer. Set to No if you only want the customer to see the total order price. |
Room Names | You can change the list to suit your requirements. |
Roller blind tube wrap allowance. mm | You can change this value if your business uses a different value to the default of 300mm |
The start of the subject line in emails to your business. You can filter emails on this text or choose to remove it so you only have a subject line such as "Invoice 170228-ab-1 Mrs Smith" | The default is 'Once Worksheet for'. However, you can change this to anything that you would like to see to enable you to more easily filter your emails from Once Mobile. |
Vat Rate % | If the VAT rate changes in future, you can change it here |
Vertical blind louvre pocket allowance. mm | You can change this value if your business uses a different value to the default of 200mm |
Worksheet per product: If Yes, on confirmed orders a separate worksheet is created for each product type. | Default is 'No', meaning that Once Mobile will send 1 worksheet to your business containing all of the items on the order. However, you can set this to 'Yes' to have a separate worksheet for each of the products that you specify in the below setting. For example, you might set this to 'Yes' if you want your Venetians and Shutters on separate sheets to make it easier to order from different manufacturers. |
Worksheet per product: The list of product types. Product names must include the product type. Used when a separate worksheet per product is set to Yes | If the 'Worksheet per product' setting is set to 'Yes', this list is used to create separate worksheets. Note that whatever you type in this list must be part of the product name that you setup in Once Setup. E.g. your list here might be "Roller,Vertical,Venetian". This will create a separate worksheet for these 3 product types, so long as you use the word 'Roller' for example in your product name. Products that are not matched to this list will be put into a separate "unmatched" worksheet. So if you only want venetian and shutters on separate worksheets and all other products on the unmatched worksheet, then the list should be just "venetian, shutters" For more detail, see: Separate Worksheets per product type |
