When you first create your Once Time/Track account you must create one or more Staff Calendars. If you have not created any Staff then your calendar display will be empty, and you cannot create appointments.


  1. Create Staff Calendars
    From the top-right menu Once Time or the Once Track Calendar screen, select Settings, then click Staff Calendars, "Add/Edit..."

  2. Give staff access to their calendar.
    Form the Add/Edit staff screen, click the "Staff access" button to generate an access code for an existing staff member

    This code is used by Once Time users to connect to their own calendar when first connecting to Once Time.
    It means staff do not need any other details except the code to connect, but they can only see their own calendar.
    This is the 3rd option on the Welcome to OnceTime screen.

    You can make staff access read-only so they cannot create edit or delete appointments. This is done on the Edit Staff dialog. Click the blue Edit button on the Add/Edit staff screen to show this dialog.

  3. Connect as an administrator to see and edit all staff calendars.
    On the Welcome screen when first connecting select the option to connect to an existing Once Track or Once Time account. You will need the Once Time/Track admin password, entered when you first created your account, or subsequently changed from the Settings screen.

    If you do not know the password, click "Forgotten password" and it will email a temporary password to your account email. (Note: Once Support are unable to tell you your password).
